1. General information

This privacy policy describes the processing of personal and technical data in the Archidiecezja Wroclawska Roblox service. The project is fictional and is not connected with a real church institution.

Data is processed only for website operation, bot features, panels, recruitment, verification and communication.

2. Legal and practical grounds

3. What data may be collected?

Technical data

security log IP address, request date and time, browser, session and error information.

Contact data

e-mail address, message content, form entries and application data.

Community data

Discord ID, username, roles, avatar, Roblox ID, Roblox username and verification status.

4. Data in specific modules

Discord login: Discord ID, username, avatar, roles and e-mail address if provided by Discord.
Roblox verification: Roblox ID, username, profile link, group information and the Discord-Roblox account link.
Recruitment: LSO or seminary application data, statuses, decisions and auxiliary AI assessment.
Admin panel: administrator actions, permissions, security logs, entries and website content.
Bot DM: private messages sent to the bot and replies sent through the panel.

5. Purposes

handling forms, recruitment and communication,

moderation, security and community organization,
publishing content and managing the website.

6. Cookies

The service uses necessary cookies for sessions, login, security and preference storage. Functional and analytical cookies may be enabled only after the user's choice.

7. External tools

The service may use Discord, Roblox, Vercel, Groq, SMTP e-mail tools and optional analytics. Providers may process data according to their own terms and privacy policies.

8. Recipients

hosting and infrastructure provider,
Discord for login, bot and webhook features,
Roblox for verification and profile data,
Groq for auxiliary recruitment AI assessment,
administrators with appropriate permissions.

9. Retention

Data is stored as long as needed for the purpose, account handling, recruitment, moderation, administrative history or security. When no longer needed, it may be deleted or anonymized.

10. User rights

11. Security and minors

The administrator uses organizational and technical safeguards suitable for the project scale, including access control, session protection and service monitoring. Minors should use the service with a guardian's knowledge.

The administrator does not process payment card data and does not operate an internal payment system. If external support options appear in the future, they will follow provider rules and policies.
